Policy for Data Cleansing

On this day, 17/5/2018, the following policy has been drawn up for Better Business International Communication Sweden AB.

Background

When information is no longer necessary for the purpose for which it was once gathered, the data shall be removed. The customer’s details may be saved for 2 years after the end of the customer relationship.
A rule of thumb according to the Swedish Data Inspection Board is that personal data about a previous customer may normally be used for marketing purposes for one year after the customer relationship has ceased.
In order to check that the need to keep data for future historical, statistical or scientific purposes is not lost, procedures are set out for data cleansing.

Purpose

The purpose of this policy is to inform the company’s employees, customers, suppliers and partners of how data is cleansed.

Server:

There are two stages in the procedure for personal data cleansing on a server:
The Account Manager decides on data cleansing
The Administrator performs data cleansing

  • Ending employment: employee, instructor, consultant
  • Customer details may be used for marketing purposes for 1 year after the customer contact has ended
    Definition of end of customer contact: Written notice of termination of contract
  • Customer - Expatriates
    The server is cleansed 2 years after an assignment has ended
  • Responsibility

    The company’s CEO has ultimate responsibility.

    Policy for the Rights of those Registered

    On this day, 17/5/2018, the following policy has been drawn up for Better Business International Communication Sweden AB.

    Background

    The Data Protection Regulation gives a registered person several rights that mean that he or she may contact BBi Communication to request:

    1. entitlement to an extract from the register (access)
    2. entitlement to correction
    3. entitlement to have one’s personal data deleted, entitlement to be forgotten
    4. entitlement to restriction of the processing of personal data (to not use all data you have about a certain person)
    5. entitlement to data portability (transferring the data to another data controller) and
    6. entitlement to make objections

    Purpose

    The purpose of this policy is to inform the company’s clients and employees about the rights those Registered have, how those Registered can obtain knowledge of what personal information the company holds about them and how this information is saved and weeded.

    Guidelines

    Procedure

    A Registered person is entitled to receive information once a year at no cost.
    An enquiry is posted to the office in the relevant country in accordance with the form, and a reply is provided on the same form.

    The enquiry is received by post at the office in Stockholm, Helsinki or Barcelona and submitted to the administrator.

    If there is no registered information about the applicant:

  • Register the enquiry received
  • Reply by mail by putting a cross in the “no” box in the form and attaching
  • If there is registered information about the applicant:

    BBi Online

    Profile

    You choose what information you state in your profile. You need not add or upload personal data. Other persons within your company may write and put up posts about you in the forum. We log details of usage when you visit or use BBi Online. We use logins, cookies and IP addresses to identify you and log your use.

    This is how we use your information

    We use your information to provide, maintain, adapt and develop BBi Online.
    How we use your personal information depends on how you use BBi Online. We use the information we have about you to provide and adapt BBi Online, among other things by means of Refresher and surveys so that the exercises become more relevant and usable for you and others. Surveys and questionnaires are carried out by us at BBi Online. It is not compulsory to respond to surveys or questionnaires and you decide what information you provide.

    Messages

    We gather information about you when you send, receive or interact with messages and in the forum at BBi Online.

    Development

    We are continually improving BBi Online and this means that we get new information and create new ways of using information.
    Our services are dynamic and we introduce new functions that may require us to gather new information. If we gather personal information that is to a significant extent different or essentially changes how we use your information, we will inform you.

    Customer Service

    We use information to assist you and to solve problems.
    We use the information (which may contain your messages) to investigate, answer and resolve complaints and problems with BBi Online.

    Overall statistics

    We use information to create overall statistics.
    We use your information to create and share statistics in an aggregate form where the data is not identifiable. We may for example use your personal data to generate statistics about test results and evaluations.

    Data Storage and Weeding of Information

    We save your e-mail address, test results and the information you have personally chosen to state in your profile for 2 years from the creation of the course. If your course is renewed, the data will be saved for a further two years. We save most of your personal information for as long as your account is open.

    The right to access and check your personal information
    You may access and delete your personal information yourself. In the case of personal data we hold about you

  • Removing data: you can ask us to delete or remove all or some personal data
  • Changing or correcting data: you can edit your personal data via your profile. You can also ask us to change, update or correct your personal data if this is incorrect.
  • Objecting to or restricting or limiting the use of personal data: you can ask us to stop using all or some of your personal data. This could lead to your entire user account being deleted.
  • The right to access and/or obtain your personal data:Once a year, free of charge, you can ask us for an extract from your personal data.
  • Closing the account

    If you decide to close the account prematurely (earlier than 2 years), your login and results will be deleted.

    Legal processing

    We have legal grounds for collecting, using and passing on your personal data. You may revoke your consent at any time by e-mailing your Training Manager at BBi Communication.
    We will only collect and process your personal data on legal grounds. These legal grounds include when you give us your consent, agreements and public interests. We store and use your information outside your country.
